hi everyone and welcome to today's event i'm laura dillon from ms dynamics world and we're here today for a session all about d365 finance versus best of breed ap automation a side-by-side comparison our presenter today is anna chief product officer with duop and it's my pleasure to welcome her back here with us today so as we get started please know that we do welcome your questions please feel individually after the session so anna without any further delay i'm going to hand things off to you to get us started perfect thank you so much and hi everyone uh thank you for joining this webinar my name is anna to younen and i am from dua the accounts table automation solution for dynamics 365 finance i am a certified finance dynamics finance consultant and i have worked with dynamics since days of yore meaning ax4 and and the past years i've been developing dua kind of because of my passion to accounts fables the agenda today is a side-by-side comparison of g365 ap process and then then do apps and the question kind of there is that what is our motivation to compare and i think very important to highlight immediately is that we're not here to judge dynamics in a negative way we're explaining the reasons why we see extending the basic functionality is needed uh i know i am a fan of of d365 but i also kind of see firsthand the the kind of the places where sometimes it may fall short i've seen many okay implementation but i know uh many of our customers had previously been using just a standard and were seeking help when they were drowning with manual work but okay before getting down to business a mandatory bulletin on on who we are so do up is based in austin texas and we have a team and office in europe too and we do operate globally our onboarding process is simple and it doesn't include heavy lifting so we have thousands of users all over all over the world approving millions of invoices we are microsoft certified and preferred solution and you can find us in microsoft app source and also our mobile apps in in app stores good so to the process um do up is a full ap automation solution including the capture of invoices to the automation of of matching coding and routing of those invoices we offer a web app a mobile app and a kind of a pre-made analytics package with power bi which are designed by our seasons of vi consultants dub integrates with dynamics real time so that all the messed master data is read from there here you see the information that that we do kind of read with with uh apis from from dynamics and it means that none of these uh these this information needs to be set up to do upside but are automatically utilized from from dynamics a real-time connection is very important with with the constructions and purchase order matching uh as those can change any time and information needs to be always always up to date good so now for the agenda we're gonna bounce through the the heavy process and and take a look of the many components that are related to it uh i'm going to show specifically some of my experiments with with for example microsoft ai builder and workflow engine many of you might be familiar with that uh po matching and then analytics and i am going to jump side by side with with do up and show that i hope tidy that version is what we have for those same same things i try to be clear as possible on what are we looking at at each moment because i understand that jumping back and forth with standard dynamics and you have might be confusing they are of course tightly connected after all and there is links in both both softwares too to jump to the other and hopefully the look and feel is is still significantly significantly different that it is clear where we are good all right i am gonna start just a bit with process differences and and as this is one of the initial drivers that have has kind of driven the the creation of uh do up so this is from a microsoft documentation it's a picture explaining a lot in my opinion of the view behind how dynamics has been built as the for ap process uh it's kind of all starting from the po or the purchase requisition and the there is then a big effect in my opinion in the usability in later later stages of the process if that po does not exist um there is the part of receive and enter invoices here it's just one box there under the paper for for product or service i i take that very personally and i consider it a bit of an understatement it is so much more bigger thing than than just one pre-step uh for for payment it does include a lot of work that happens in the ap and well in finance in general there's the capture coding um everything related to matching routing approvals that affects everyone in the the company who will be doing approval so it is just more more than just one box and then all the analytics that is related there um the feature design with dynamics has for a long time been i think focusing on on having everything as po invoices and uh that leads to forcing to use the pending vendor invoices form for all kind of invoice types which was uh kind of the form was originally created for for pos this means that all invoices have to be coded with procurement category items rather than directly to the ledger or pro project if they are non-po invoices so uh because for those you would need to kind of typically use the other type of journals unfortunately most of the new features and reports do not work with invoices that have been created for example with the with the invoice register and it was approval journal combo many companies have been using those because it has been kind of a regional requirement back in the well still in some some regions and and the doing of pre-registration of invoices because of tax purposes for example uh other kind of reasoning that there is that so that the pending uh form isn't isn't that appealing is uh is that when you don't have peos at all the the kind of the force forced usage of procurement category of items or even kind of the lightest version of supply chain management module that you have to set up is a bit tedious if you all you want to do is code the invoices to two main accounts but of course let's not talk about doing manual journals into anything there is advanced options data kind of data management where you can build interfaces for for receiving invoices it is a bit picky the the data management side so it's wanting a lot of the information to be exactly correct but then then of course the tools for ai builder are are coming to connect so so we can build up a capture process in-house um we're taking a look a look at that of course a bit later so um kind of one thing to still still say about that process so if we take a look at what is typically incorporations uh this i think is a is a very common distribution it's 70 or 80 percent of peos restaurant 20 30 is is non-po and for kind of everyone now i think this is okay it is okay not to force 100 pos when there is no gain from it sometimes i know it has been kind of some sort of a badge of honor to try to push for 100 pos but it is just not worthwhile in all cases uh what i do agree with is that getting everything that there is related to your core business to be pos that is absolutely how you have to do it it only gives structure and efficiency but it improves the data quality uh pios tend to be kind of more correct because there's items and vendors have already been thought of the correct coding will will be drive kind of driven through those items and especially when there's warehouse management or any kind of manufacturing involved it is absolutely mandatory to have those as pos of course but then for administrative costs utilities services that are not related to core business is dynamics pos the best medium now for to to kind of manage those or or approve those uh i don't really think so you see here in the pic the invoice type category recurring invoices which which actually means non-po invoices but they are invoices that can automate by matching them to a template of of a recurring item so uh typically uh it's it said that that company has 10 to 30 percent of of administrative invoices and from those you can uh automate a big chunk those are the kind of phone bills rents and such that's that's always repeat the same way if it's not the coding that is the same it's at least that the approvers are the same or the amounts are the same so dynamics tools for recurring items are pretty much non-existent blanket order periodic journal journal those are things that that we have used to use the pain but they are not really recurring invoice automation sometimes they do make the thing even worse so what ap solutions typically have for these is the ability to automate two main types of of recurring invoices one one of those are the one the kind of invoices that just repeat periodically let's say every every month and you can match that to an existing template like an electricity bill it may fluctuate a bit but it basically is it can be approved with a tolerance limit every month yes let's automate those and the other one the second type is the invoices where you don't receive an actual invoice do you still have to pay those like for example a rent you want to automate the creation of it so you always have to create a new invoice for the following month but you can't do those too much beforehand uh because if there is changes in into into your rent structure where you don't need to pay for it anymore you don't want to have unnecessary invoices but all in all you want a system that will monitor those existing kind of rent contracts that you have let's actually take a look at that that's in a demo that that i have i will show that from from our mobile prototype we have a current current mobile prototype but we are adding uh recurring invoices uh too to our mobile and here we are actually calling them currently as subscriptions because they're kind of like subscriptions that repeat repeat monthly so i have here in my kind of mobile front page where i can see that hey i have 14 invoices from which six are overdue so i really need to focus on those but here in the subscription i can take a look at the the recurring templates that i have a responsibility of when kind of opening that template i can see that for hey our our azure cloud uh invoices we have this this and this uh kind of annual budget and and uh this and this kind of plan what is gonna happen and i'm not gonna get an invoice uh invoice for it i need to auto order generate an invoice every month and as long as this is uh this is currently working i can uh i can kind of automate all all related to the the azure constant that are and i can even see here a list of those invoices that have been created from it uh in the past uh also something that that i can see is that when there is existing invoices so i'm not going to click on those 14 invoices that there is for for me to process currently when i have an invoice there is situations where machine learning is recognizing that hey there is something that you could automate there is a pattern there is a repeating invoice here is it okay that we create that reoccurring pattern from this from from this invoice and then we can say create i get the template um ready with that with the information that is gathered from that invoice and hopefully in the in the next following months i can just follow and see how they have been automatically approved cool all right then continuing um to invoice receiving and capture so uh now we're gonna uh have a demo on on what i have been uh tinkering with the ai builder so the really interesting area of development with microsoft has been the ability to bring ocr tools as something that we can build build our cells here is um kind of one explanation process picture and how it could work it does not have the dynamics linkage yet included in this picture but the flow would continue to dynamics from here so so automating the processing of documents does require as you see a kind of a stack of different kind of solutions and there is uh um kind of some license requirements for them but but it pretty much goes this this way or or this is what i have been using now is that i have power platform that is kind of enabling the document automation solution building and then i have power automates uh kind of orchestrating the overall process that is happening ai builder is now the the actual component that it has the intelligence of extracting information and then there is power apps uh to manually review and approve documents and and here the the powerapps part is is something that could be then different with with for example dynamics but but that's what what i was using uh currently um all can under this is dataverse that will manage the document queue and store stored in all the data files and configurations and so on so forth so there is listed this is a screen capture from from the document space in microsoft so there is the license needs and there is also a kind of transaction price for the ai builders or there is a calculator it's uh basically the aei part is starting from 50 cents uh of a piece for for those captured items and it does does then change with the invoice volume so it will will decrease but uh that is uh how to how you can take a look at that so this is what it looked like and um i am now going to uh i want to show that that's happening happening live so um here i have kind of the power automate uh work workspace that i have i did two different kinds of versions of of the of the invoice capture i was using here the custom documents uh document and invoices tool which was pretty much guiding me how to set this up and there is obviously coming and exported 365 finance and operations coming soon but it is not not yet available at least for me so then i was using this custom document and and invoice tool uh for the other option i was using uh purely power automate site where i was kind of building these um steps and defining what happens in each step that go to my mailbox and pick pick invoices well here i actually have manually uploading invoices and then extract i'm telling it what to extract i'm telling it to create an html report on those and then i'm asking it to email it to me to with with some of those invoice invoice details but let's take a look now what uh powerapps has been doing in the in the background uh i have a mail setup which is which it is pulling of all invoices that have attachments to it uh as you see that it is a kind of approving now only pdf invoices it has declined my my excel uh invoice as as as it doesn't uh doesn't approve that type here i have some it has also captured because there is very often there is extra images on on on emails for example here i have in the signature i do have some some linkedin linkedin icons and uh your document was not processed let's let's see back back i want to show this one too uh yeah there was twitter and then this was validated to be an invoice i was happy because that was our do have dog from the invoice picture but but that's unfortunately isn't an invoice but here we do have actual invoices that it has then captured so in the powerapps side uh i don't really have a have a good way to get the invoice data for to fill the the information that that might have not been captured here most of this that is now shown red is something that actually is not there on that invoice but if i need to correct something i can just simply simply correct it to that screen so that uh i do understand that that is kind of like like a modern way in a sense that's that the invoice information is captured based on artificial intelligence on understanding what the invoice data is we don't necessarily have to anymore point where in the invoice that that data is because when we uh are relying only on the invoice location of kind of location on the invoice if there is even even small changes to the template then we have to reteach it but good after validation then the idea would be that that it would then flow to the invoice invoice process good or right uh continuing then with the consideration i do want to note that that there is a few limitations there so um usually there is the need to handle excel word of other picture files so the list with with three uh free funds is uh fairly limited currently and there is a very often um request to everything voice body as invoice uh i do agree also that i hate vendors that do that meaning sending odd files that are hard to automate for example just having multiple invoices in one document and then we would in this process have to have to pretty much manually split those but those are the real life issues those are something that we have to address too we have to have tools for it otherwise we have to do a lot of manual work so uh can with these current uh limitations it will require mailbox management and a kind of a manual process on the side of of of the of the invoice process but most importantly it does require some in-house technical support for the setup and maintenance and i'm just kind of having the tech support um it's currently only available for english u.s localization invoices and uh i think we're still expecting that that's coming soon export integration to to pop up there to to power automate all right then uh to do app capture so now we're jumping jumping to do upside so uh into applicator is part of the process you have one view of for everything where the invoice invoices arrive as kind of like new invoices in the work queue uh you process exceptions related to missing coding matching and then also possibly address also the missing data or or if there was a low confidence level on on what was captured so it's all kind of part of that one say process we are global so we have multiple languages supported especially kind of when uh interpreting those invoices there is kind of like two language needs what languages are there for using the software and what language is for for understanding the invoices and it's very important to understand difference different different letters even when when interpreting foreign invoices if that is a need so it is a package solution it means zero maintenance and no interfaces to to keep up to date and kind of no complicated setup changes the software learns from changes that you you do and um let's have a look at that site now so here i have my dynamics and um in in dynamics i do have my do up um icon so i am able to kind of go to the power bi side or or the web app side then i have also here some admin tools that are kind of related to the setup and uh i needed to log in and maybe it was open just for a bit too long but it normally does recognize me immediately as the same user as there was in in dynamics but here it's opening that whole invoice queue that i have i do have a lot of invoices here i am acting as as ap and uh just kind of for clarity i'm going to kind of close the previous invoices for now as that's a kind of a advanced function of getting information from other invoices i have here one invoice that it's suggesting for me to me to process first but now wanting to take a look at at how the kind of capture works so we are able to send invoices as as emails for example i'm able to also add here it kind of invoices on kind of right from from my desktop and i want to take a look at one of the newer invoices here so i'll organize this this uh in order and grab that invoice to my uh processing section to active invoices so this is now a new uh new invoice it it's uh it has been now captured uh we have everything that's that was extracted from this invoice here in the background as as kind of data but i don't have to worry about that everything that was kind of extracted from there is now a combination of the vendor information from dynamics and as as as uh picked uh feels from from the invoice um i have many fields hidden you can see many of these are familiar dynamics vendor related fields for example and now for kind of going through what was extracted i can for example address to the information that hey it is highlighting me the invoice number and i have here already kind of like a quick filter to seeing what kind of problems the problem there is and by by applying that it is filtering for me a duplicate invoice that there was for for this same one so now i can kind of quickly compare and see what is this duplicate invoice is is it really a duplicate or is it is it another issue if there would be something that was captured incorrectly we could kind of in the same way see that there is a is a highlight or or a kind of confidence error that that we want to address to and everything here is now a drop down which i could change uh change to be something else so if this would be actually now let's say land the packaging solution a vendor invoice i can change it there from the drop down i can change the company there from the drop down and any other information that there is and from that change it learns it learns now that hey i either picked something wrong from from the capture or i'm learning that okay this is how it should be routed for example the next time or this is how it should be coded the next time and and so forth all right okay then going back uh back to the slide side so let's talk about dynamics uh dynamics workflow uh i have to admit here that i am not the biggest fan for the part of making the workflows once you kind of manage to get the editor open it well and have to remember that it doesn't allow using google chrome one kind of one thing that i do like with with the workflow engine in dynamics is that that i have been always able to build all situations that i have faced that even the most complicated imaginative exception-filled multi-step workflows that a power hungry controller has designed you are pretty much able to accommodate and it is good to have control kind of controls for the approval policies you have set but for the user friendly part and here i am uh trying to trying to uh implement a bit more complicated uh cost centronics exception of based workflow it is kind of hard to understand after someone else has built it and you are supposed to understand what it is doing i think that is one of the biggest faults it is like with sometimes with excels that it's hard to understand and excel that someone someone else else has done uh we're we're not giving of any any beauty points it doesn't in a way matter but um i don't like the fact that that when i was doing doing this i was able to crash it a few times and then i did lose the work that i was uh i was doing uh for um accounts payable um i think that even though the the control is very important i also think that flexibility is is very important when invoices needs to get approved it they really do need to get approved and uh unless you give enough power to finance to then then actually solve the problems with the workflows when those invoices do get stuck it is a common thing that's then finance thoughts bypassing uh the workflow when there is an urgent urgent need meaning that something is paid directly from from from the banking system or or something if you don't have have that flexibility that is really bad as we do see that then in the reconciliation problems because you tend to forget to then then then correct those those afterwards well that is about that i'll i'll leave it leave it to anyone's liking so uh even though we in do upside we utilize so much of the standard dynamics as possible um obviously workflow engine is something we did not want to use uh we still utilize the same base data as as the workflows what you can do there so for example position hierarchy from from dynamics or the dimensions in general of course where you get we can get the signing limits from from dynamics but we wanted to build a flexible informative and easy to use workflows uh they're more of the visual approval path of an invoice than an old old clunky workflow concept um i can base the workflow to many things and tie those rules to company or inverse type or a vendor or i can let machine learning have a go with it based on how invoices have been routed before finance always has to control and they can flexibly do changes to particular invoice paths and all changes are locked of course let's take a look at that again so for for this invoice for example i do have here an initial logistics based uh based workflow and this has been selected to me by uh machine learning so machine learning has says that hundred percent of these cases it will it will go like this uh if there ever is something that i that i want to be kind of wrote differently if this is now the first exception there is i do also have my kind of preset templates for it and even if that is not enough if this is now a special invoice in that sense that okay aha we're getting uh two projects in the same invoice i can then start building that's that workflow on the go i can have uh conditional steps that only send this after a first certain account to a person or i can have a kind of ability to retrieve the purchase order requester or order from from dynamics if it is a poc related if i now kind of after i've done changes if i know that hey this is a template that i want to use often in the future too i want to tie this to for the fender for example i can just now rename this with with let's say um let's not say it i have used marketing to production no that i haven't used i could now create a production workflow that i can use as a preset in the future or i can go back with the machine learning one because that is most likely the correct one uh good all right um the approval workflow is not the only control uh kind of for those approval uh kind of policies it's also the point of process where the business users interact with with the finance process so business people don't necessarily love approving invoices to my experience and for many people the coding and matching can be just just pure trick and they don't know even kind of what to check on an invoice but we have approvers an ap solution is never just a finance tool and for making the life easier for approvers i do beg you to consider of requiring a good and working mobile tool uh the importance of mobile tools is bigger the higher we go uh up the chain of command and for c-suite level it seems to kind of nowadays be the preferred solution we we can see that that's from from our existing uh kind of use and it also of course needs to be working and there there have been uh for microsoft there has been many different kinds of mobile solutions for dynamics and admittedly they haven't been the best that there there is and i don't actually blame the solutions but a lot of that has to do with the workflow engine that they connected connect to so that i think brings some limitation and now since as a surprise to me too uh since first of june 2022 all these have been deprecated so so they are not working anymore i was going to demo them today but with no need so how the future goes you are going to do those now with power apps so you will need to build those yourself or you kind of use a partner for that but unfortunately you will be integrating with that with the same workflow engine still good all right we do up we do uh uh do think business people are humans too and we believe that they do deserve something better especially for people that don't use dynamics uh to anything else than just invoice approvals it is uh it is a bit too much to ask them to to learn that for just the approvals and um how convenient is it that you just get an email notification or a push notification from from the app and here is my my mobile for example and i'm just able to click it open and um and see those invoices that i have there uh to approve i'm cycling through the invoices uh maybe i can already approve one invoice by swiping right i can click the invoice uh open the to look at the details invoice picture i want to zoom in and take a take a good look i am getting old and and then to see the workflows i can actually do changes to workflows if i have the permission to do do so and uh okay it's it's very kind of convenient for example to the situations when i'm not the correct approver so i know who is so i can then reroute it to the person i don't have to only send it back to ap which i of course can do there is the coding i am able to change the coding it is validating this to dynamics again so i am able to only do correct coding i i is checking the account structures and then i have also the previous emphasis so there's nothing really better for confirming that this invoice is correct but then just check that hey how did i code this the last time and how did the workflow work for the last time and then i can approve it all right uh one thing too that is very important is that i can also set a vacation substitute through moba and it's very convenient in that sense because i keep forgetting to do that here i was actually removing my delegate for my vacation time when i was was uh returning a few weeks earlier i i think i was a bit wishful uh thinking there when i have set that up all right then uh to matching and um uh i'm not gonna go through much uh two things uh related to matching because this there hasn't been uh that much new to to the matching part in that sense there is uh for example that's auto matching in a sense that you're able to um able to set up kind of a repeating matching attempts when the invoice can be approved automatically when product receipts are uh are received and we of course do that part two so so i don't think that we need to compare when both are doing that and um there is now in dynamics new kind of statuses on on invoices in pending form your where you might see invoices with automated receipt match status and uh and what kind of workflow uh status values and uh for the matching part this is kind of a screen where i can compare what is on the invoice what is uh what what is on the purchase order and those are a couple of the things that i do want to know or rather show from two upside because because this side might be a bit uh more unfamiliar i am gonna grab there i have a po invoice that i wanted to show and um kind of let's see i i do have here now a purchase order related invoice i have a purchase order number and the product receipt number that i have recognized from from the invoice picture i have the possibility to jump to dynamics and and see those more in detail but um but here uh i have now the comparison based uh on the what is on the invoice as we have captured the line level information and then what is the matching product receipts and purchase order situation in dynamics by doing the comparison and identifying item lines and and kind of identifying the discrepancies we have machine learning suggesting here the changes that i need to do for this invoice to to match and i can apply the suggested uh changes and after that hopefully hopefully yes the inversion is is matching uh if it would not be matching one thing too that we i do really like here in the upside is the ability how we add miscellaneous charges so uh kind of we support those uh those charge codes that you have in dynamics and here is the minimum that i would need to need to for example put as a as a as a set up if i need to add charges it already is kind of automatically allocating those charges so i don't have to specifically go and do the allocation like uh it happens very often it dynamics that someone forgets to do that and and so forth all right i am going to delete that because that was making my invoice not much um now it is matching it doesn't matter who in the work of the process does the matching it all depends on on what is your ap process but here when this invoice is done i'm going to accept it it will push forward based on the three-way matching rules it might even even even skip the next steps if everything is is okay all right good um next um audit trail and analytics uh so audit trailers in dynamics doesn't really serve the ap needs we have workflow related logs which says when the workflow was submitted and what was automatically approved and then we have the feared database log uh this is the one that you would have you put only uh you you turn the setup on only when you have already realized you need it and then the it says that you can't turn it on because it slows down everything and it doesn't really kind of work because you're here focusing on different tables in dynamics and not uh to an actual invoice so with do-op there is a history log that is really kind of telling what has been done to the invoice and what significant changes there has been you see me changing here the the ledger accounts um in in our coding and then after this change we can then see that time stamped in the history log it marks pretty much who what and when it works so well also with unwanted changes so the approver changes an account by accident and doesn't recall at all what it was here in the log you can now see what the value was previously good and then almost to our final topic the analytics uh here is a screenshot of dynamics embedded vendor payments report so uh these kind of power bi reports there is a kind of fixed package of of six vendor invoice related uh reports that can be embedded into vendor payments work uh workspace you can see here here is a analytics uh tab it will be grayed out if you have not not been able to do the the embedding and there is uh tier requirements on dynamics i for example have my demo environments in in not the highest possible tiers so i cannot even get the reports to my my uh environments but uh but of course if you need them you will you you have ways to get them um so there is nine reports in total uh there they they are in in kind of like different sheets uh six are kind of basic figures or lists on on the invoice data here is the invoices pass do one which is listing listing the invoices passed through kind of very similar on how i would would for example look at just from from pending table and then a few few graph graphs on on those um do you have analytics now jumping again to the upside uh these have been designed for user roles and we have for example specific dashboards for cfo use process efficiency and vendor analytics um in addition there is a kind of like a whole segment of different kind of ap tools for day-to-day monitoring and and invoice processing like an accrual report for a month and closing uh for of of unapproved invoices and um here is one uh example of process automation music you can see how your automation is developing with every step of the process and seeing the performance per kind of every every step you can systematically improve the the true automation or the touchless rate of of your of your invoices and um i'll also i want to show quickly uh the vendor analytics aside here i have my my cf report let's let's go to the vendor analytics uh here i can dig into the bottlenecks caused by vendor actions or or also also the approvers uh so for example if if i want to look at a few graphs on on for example cash discounts very important to monitor that where we are utilizing all those cash discounts that we can and then uh here is interesting whose invoices take the longest to process we can look at that based on a different vendor and typically if there is for example a long invoice it was kind of handling time for a specific vendor there is a reason behind it is there something on those vendor invoices that is very hard to check are they not matching what the product receipts are typically are they not putting the po numbers in place what is the reason and how can we approve that sorry improve that uh also here uh kind of interesting kpis uh related uh related to um kind of invoices with the least amount of time to process you want to get rid of vendors that have due immediately as the default payment term you can use that as a as a as a kind of a kpi to focus on on negotiating those and then for example here with eaton we have a default payment term of 15 days why are we receiving these invoices typically only three days prior to to uh when they have to be paid are they sending those to the incorrect address for example very cool things with the power bi report these are something that you can drill through you they're four dimensional there is is reports within the reports and you can always get to the base based data
